You have data rights

Depending on the circumstances, you may ask to access, correct, erase, restrict, transfer or object to our use of your information.

Identity and contact details

Your name, telephone number, email address, billing address, business name, job role and preferred contact method.

Technical and security information

IP address, browser and device information, timestamps, referring page, pages visited, security events and spam-detection information generated when you use the website.

Please do not send special category information—such as medical, health, religious or biometric data—unless it is genuinely necessary for us to understand and safely respond to an immediate situation. Do not include unnecessary personal information about other people.

3. HOW WE COLLECT INFORMATION

Information You Provide and Information Generated by the Website

Directly from you when you telephone, email, use WhatsApp, submit a website form, request a quotation, book a service, make a payment or raise a complaint.

From someone arranging a service where a garage, dealer, employer, insurer, family member, vehicle seller, auction or other authorised contact gives us the details needed for a collection, recovery or delivery.

Automatically through the website when hosting, security, spam-prevention and similar systems generate technical information needed to operate and protect the site.

From business and transaction records created while providing a quotation, arranging a job, completing work, invoicing and handling customer service.

If you provide information about another person, you should make sure you are authorised to do so and, where appropriate, make them aware of this notice.

4. PURPOSES & LAWFUL BASES

How and Why We Use Personal Information

Data protection law requires us to have a lawful basis for each use of personal information. The basis depends on the purpose and circumstances.

CONTRACT & PRE-CONTRACT STEPS

Quotations and services

We use enquiry, vehicle, route and contact information to prepare quotations, arrange collections, dispatch assistance, provide recovery or transport, communicate about the job and take payment.

LEGITIMATE INTERESTS

Operating and protecting the business

We may use information to respond to enquiries, manage customer and trade relationships, improve service, maintain records, protect vehicles and staff, secure the website, prevent fraud or misuse and establish or defend legal claims.

LEGAL OBLIGATION

Meeting legal requirements

We may process and retain information to meet accounting, tax, company, insurance, road-safety and other legal obligations, or to respond to a valid request from a court, regulator or public authority.

CONSENT

Optional marketing and non-essential technologies

Where consent is required, we rely on it for optional electronic marketing or non-essential cookies and similar technologies. Consent can be withdrawn at any time without affecting earlier lawful processing.

Where we rely on legitimate interests, we consider whether the use is necessary, proportionate and reasonably expected, and balance our interests against the individual’s rights and freedoms.

5. WEBSITE FORMS & SPAM PROTECTION

How Contact and Quotation Forms Are Processed

Our website uses WordPress.com and Jetpack form technology. Form information is used to assess and respond to the enquiry you submit.

Form delivery and storage

A form submission is stored in the website database and emailed to the BZ Recovery address configured for that form. It may include the details entered, the submission time, IP address and other technical information used for delivery and abuse prevention.

Access to form responses is restricted to authorised site administrators and people who need the information to handle the enquiry or service.

Akismet spam checking

Akismet is active to protect the forms from spam and abuse. Relevant submission and technical data—such as IP address, user agent, email address, site URL and message content—may be sent to Automattic’s Akismet service solely for spam checking.

6. COOKIES & TECHNICAL DATA

Operating, Securing and Understanding the Website

The website and its service providers may use strictly necessary cookies or similar technologies for core functionality, security, load management, preferences and spam prevention. Hosting and security systems may also process an IP address, device and browser type, timestamps, referring page and requested pages.

If non-essential analytics, advertising or marketing technologies are enabled, we will provide information and request consent where required by UK law. You can also control or delete cookies through your browser settings, although blocking necessary cookies may affect website functionality.

Links to WhatsApp, Google, Companies House, the ICO and other external websites take you to services controlled by those organisations. Their handling of information is governed by their own privacy notices.

7. SHARING INFORMATION

Who May Receive Personal Information

We do not sell or rent personal information. We may share only the information reasonably necessary with:

Authorised BZ Recovery staff and drivers who need the information to assess, arrange, provide or follow up a service.

Website and technology providers, including WordPress.com, Automattic, Jetpack and Akismet, for hosting, forms, security, spam prevention and website operation.

Email, telephone and communications providers, including WhatsApp when you choose to contact us through that service.

Banks and payment providers where needed to receive, reconcile or refund payment. Payment-card information is not collected through this website.

Garages, dealerships, auctions, collection contacts and delivery contacts where sharing is necessary to carry out the service you have requested or authorised.

Accountants, insurers, legal advisers and professional advisers where they need the information to provide services, handle a claim or protect legal rights.

HMRC, law enforcement, courts, regulators and public authorities where disclosure is required or permitted by law.

Service providers acting on our behalf are expected to process personal information only for the relevant service and to protect it appropriately. Some organisations—such as WhatsApp or Google—act as separate controllers under their own privacy notices when you use their platforms.

8. INTERNATIONAL TRANSFERS

When Information Is Processed Outside the UK

Some technology and communications providers operate internationally and may process information outside the United Kingdom. Different countries do not always provide the same level of legal protection for personal information.

Where UK data protection law requires safeguards, we will rely on an appropriate mechanism used by the relevant provider, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses or another lawful safeguard. You can contact us if you require further information about a relevant transfer.

9. DATA RETENTION

How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including customer service, accounting, tax, insurance, dispute and legal requirements. Our normal approach is:

Enquiries and unsuccessful quotations

Normally up to 24 months after the last meaningful contact, unless the information is needed for a complaint, dispute, safety issue or legal claim.

Customer, job and accounting records

Normally up to six years where the information forms part of a completed-job, invoice, payment, tax, insurance, company or legal record.

Marketing information

Until you withdraw consent, unsubscribe, object where applicable or the information is no longer needed, subject to periodic review and a minimal suppression record where necessary.

Security and spam information

Only for as long as operationally necessary or according to the documented retention arrangements of the relevant hosting, security or spam-prevention provider.

We may keep information longer where required by law, where a complaint or claim is ongoing, where we reasonably anticipate legal proceedings or where deletion would interfere with another person’s rights. When information is no longer needed, we delete it, anonymise it or securely dispose of it.

10. YOUR RIGHTS

Your UK Data Protection Rights

The rights available depend on the information, the lawful basis and the circumstances. They are not all absolute, and legal exemptions may apply.

Right to be informed about how personal information is collected and used.

Right of access to obtain confirmation and a copy of personal information we hold about you.

Right to rectification of inaccurate information and completion of incomplete information.

Right to erasure in circumstances where there is no continuing lawful reason to keep the information.

Right to restrict processing in certain circumstances, including while accuracy or an objection is being considered.

Right to object to processing based on legitimate interests and an absolute right to object to direct marketing.

Right to data portability for certain information processed automatically on the basis of consent or contract.

Right to withdraw consent at any time where consent is the lawful basis.

To exercise a right, email contact@bzrecovery.co.uk. Please explain what you are requesting. We may need proportionate information to confirm your identity and protect information from unauthorised disclosure. We normally respond without undue delay and within the period required by law.

There is normally no charge. A reasonable fee may be permitted, or a request may be refused, where the law allows—for example if it is manifestly unfounded or excessive. We will explain the reason and the available complaint route if that occurs.

11. MARKETING

Service Messages and Optional Marketing

Messages necessary to answer an enquiry, provide a quotation, perform a booked service, issue an invoice, respond to a complaint or provide important service information are not marketing communications.

If we send optional electronic marketing, we will do so only where permitted by law and will provide a clear way to opt out. You can withdraw consent or object to direct marketing at any time by using an unsubscribe option or emailing contact@bzrecovery.co.uk. We may retain a minimal suppression record so that we respect the request.

12. SECURITY & RESPONSIBLE USE

Protecting Personal Information

We use proportionate organisational and technical measures intended to protect personal information against unauthorised access, accidental loss, misuse, alteration or disclosure. These include restricting access to people who need the information, using reputable website and communications providers, account-security controls, spam protection and appropriate record-management practices.

No internet, email or messaging system can be guaranteed completely secure. Please avoid sending unnecessary sensitive information. For urgent roadside situations, provide only the information needed to identify you, locate the vehicle and arrange safe assistance.

Children

Our website and services are not directed at children under 13, and we do not knowingly collect their personal information through the website. If you believe a child has submitted information, contact us so we can assess and, where appropriate, remove it.

Automated decision-making

We do not use information collected through website enquiries to make solely automated decisions that produce legal or similarly significant effects. Quotations, dispatch decisions and service arrangements involve human assessment.

13. QUESTIONS & COMPLAINTS

Contact BZ Recovery or the ICO

If you have a question, wish to exercise a right or believe we have handled your information incorrectly, please contact us first so we have the opportunity to investigate and put matters right.
